BarberLine AI ("we," "us," or "our") operates the BarberLine AI service. This policy explains what data we collect, how we use it, and your rights.
1. Information We Collect
From shop owners (you):
- Name, email address, and phone number — collected via our intake form when you sign up.
- Business information: shop name, address, services, pricing, and hours — provided by you during onboarding.
- Calendar and booking data — shared with us to enable appointment scheduling.
From your callers (your customers):
- Name and phone number — collected during a call to complete a booking.
- Appointment details — service requested, preferred date/time.
- Call recordings — calls handled by the AI may be recorded.
Automatically:
- Website usage data (pages visited, scroll depth, CTA clicks) via analytics tools.
- Standard server logs (IP address, browser type, referring URL).
2. How We Use Your Information
- Provide, operate, and improve the BarberLine AI service.
- Book appointments and send confirmation texts to your customers on your behalf.
- Communicate with you about your account, billing, and service updates.
- Train and improve our AI models (using anonymised or aggregated data only).
- Comply with legal obligations.
3. How We Share Your Information
We do not sell your data. We share data only with:
- Service providers that help us operate the platform (e.g., telephony, calendar integrations, SMS delivery, payment processing). These providers are bound by confidentiality obligations.
- Tally — our intake form provider, which collects your initial sign-up data under their own privacy policy.
- Law enforcement or regulators when required by law.
- Successors in the event of a business acquisition or merger, with notice to you.
4. Call Recordings
Calls may be recorded to ensure quality and to train our AI. Recordings are stored securely and retained for up to 90 days unless you request deletion. As the shop owner, you are responsible for notifying callers that calls may be recorded, as required by your local laws.
5. Data Retention
We retain your business and account data for as long as your account is active, plus up to 2 years after cancellation for legal and billing purposes. Caller data (name, phone, appointment details) is retained for up to 12 months. You may request deletion at any time.
6. Security
We use industry-standard measures (encryption in transit and at rest, access controls) to protect your data. No system is 100% secure; we cannot guarantee absolute security.
7. Your Rights
You may at any time:
- Request access to the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data (subject to legal retention requirements).
- Opt out of marketing emails via the unsubscribe link in any email.

8. Children's Privacy
Our service is not directed at children under 13. We do not knowingly collect data from children.
